The coordinator must actively monitor the test series dashboard to track the status of all answer sheets submitted by students. These will be categorized as Pending (submitted but not yet assigned), Assigned (currently with a checker), and Checked (evaluated and submitted by the checker). Regular tracking ensures timely processing and prevents backlog in evaluation.
2. Managing Pending Sheets
Pending sheets must be reviewed daily to check for completeness, errors, or submission mismatches. The coordinator should prioritize sheets based on their submission date or urgency, if marked accordingly. Once reviewed, these sheets should be queued for assignment to the relevant checkers based on subject expertise and current workload distribution.
3. Assigning to Checkers
Using the dashboard interface, the coordinator should assign answer sheets to available checkers, ensuring a fair and balanced workload. Each assignment should be recorded with details such as the subject, checker’s name, and date of assignment. The coordinator must also verify that checkers receive all necessary documents, including the corresponding question paper and the official marking scheme, to ensure consistency in evaluation.
4. Follow-Up on Assigned Sheets
It is essential to track the time taken by each checker to complete evaluations. A standard evaluation turnaround time is 2 working days, should be enforced. The coordinator should send timely reminders if checkers exceed the allotted time, and if required, reassign sheets to ensure deadlines are met. This process helps maintain the flow of checked copies without delays.
5. Review of Checked Sheets
After a checker marks a paper, the coordinator should perform a preliminary review to ensure that every answer is evaluated, feedback (if required) is appropriately given, and the marking is aligned with the official scheme. Random quality checks on checked sheets should be conducted to maintain evaluation standards and address any inconsistencies or errors in marking.
6. Checker Management
The coordinator is responsible for creating and maintaining checker profiles with accurate information such as full name, email address, and mobile number. Staff login credentials must be issued with clearly defined access based on subject areas or exam levels. Coordinators should also maintain open lines of communication with checkers through email, phone, or WhatsApp for quick resolution of queries, clarification of doubts, or in cases where rechecking is needed.
7. Escalation Protocol
Any issues such as repeated delays, poor evaluation quality, or non-responsiveness from a checker should be documented and escalated to the academic head or platform administrator. Proper logs of such instances must be maintained to identify performance gaps and improve the overall workflow.
